Logistics Operations & Shipping Coordinator

Our client within the Automation Industry is seeking a proactive Logistics Operations & Shipping Coordinator to join a dynamic warehousing team in southern Malta. This role is key to ensuring the smooth movement of goods, effective supplier management, and the optimisation of internal procurement and logistics processes.

The Main Responsibilities include: 

• Process client orders, keeping clients updated on order status and expected delivery timelines.
• Generate procurement orders based on inventory levels and client demand.
• Coordinate transportation with couriers and suppliers to ensure timely and cost-efficient deliveries.
• Track inbound shipments and maintain accurate documentation for financial and operational purposes.
• Manage import/export documentation, including customs clearance, duties, and regulatory compliance.
• Verify incoming invoices against purchase orders and ensure accurate data entry into systems.
• Schedule deliveries according to customer routes and operating hours, preparing necessary paperwork.
• Monitor outstanding order reports and initiate follow-ups as required.
• Submit intra-EU trade declarations via the NSO’s Supplementary Declaration System.
• Coordinate stock audits, investigate discrepancies, and report findings to the warehousing team.
• Maintain accurate product data and update item records.
• Support warehouse operations, including stock allocation, store management, and inventory movements.

Working Hours:

Monday to Friday - 8am -5pm 

Requirements

• Strong understanding of logistics and procurement processes across the supply chain.
• Excellent written and verbal communication skills in Maltese and English.
• Clean criminal record (Police Conduct Certificate required).
• Highly organised, detail-oriented, and able to work independently within a collaborative, fast-paced environment.

Education and Experience

• Experience consolidating and booking incoming shipments.
• Experience with ERP systems, particularly SAGE Evolution, is advantageous (full training provided).
