Logistics Coordinator

Our client is looking to recruit a Logistics Coordinator to join their growing team. Reporting to the Team Lead, the chosen candidate will:

• Act as the primary point of contact for event logistics, overseeing set-up, execution, and dismantling.
• Conduct site visits to evaluate venues, prepare detailed layout and site plans, and perform risk assessments.
• Collaborate with team leaders to ensure smooth event flow and proper setup on-site.
• Oversee the full event cycle — from planning to post-event wrap-up — ensuring on-time delivery and quality standards.
• Manage coordination between the warehouse and event teams to ensure timely preparation and delivery of props and equipment.
• Oversee van and driver scheduling, manage transport logistics, and drive company vehicles when required.
• Review RMS (Resource Management System) picklists to confirm accurate equipment allocation.
• Conduct regular warehouse checks, equipment audits, and ensure RMS data accuracy.
• Recruit, induct, and train part-timers for event and team-building activities.
• Allocate and schedule part-timers according to event requirements, maintaining clear communication with team leaders.
• Organize regular part-timer inductions, trainings, and internal meetings.
• Build and maintain strong relationships with venues and suppliers.
• Create and update detailed contact sheets for all external partners.
• Scout and assess new venues; prepare site plans and venue layouts.
• Research and identify cost-saving opportunities and alternative suppliers for improved efficiency.

Requirements

• Strong problem-solving skills and a proactive attitude.

Education and Experience

• Experience in event coordination, team management, or logistics is preferred.
• Familiarity with warehouse operations and equipment handling.
• Proficiency in creating site plans and conducting risk assessments.
• Flexibility to work evenings, weekends, and public holidays as required by event schedules.
• Physical ability to participate in set-ups, dismantling, and equipment handling.
