Our client, a well-established supplier of engineering polymers, is searching for an Administration & Planning Executive to join their team. The chosen candidate will play a crucial role in the planning of materials for clients, order processing with suppliers and coordinating logistics to ensure timely availability of material & issuing invoicing to customers.
Responsibilities;
- Analyse customer material requirements and schedules and manage the material planning for customers both locally and abroad
- Place orders with suppliers and liaise internally to ensure timely availability of material;
- Keep customers updated with material status and availability
- Ensure proper recording, storage and tracking of all purchased items
- Prepare reports as and when requested by management
- Issue sales invoices
- Check, process and record payments with suppliers and customers
- Administer invoices and expenses claims received and action payments
- Reconcile transaction on system
- Stock take monitoring
- Payments administration
- Any other task assigned from time to time
Requirements
- Candidates must be fluent in both Maltese AND English
- Organised, focused, pro-active and a sense of confidentiality
- Candidates must have great initiative, diligence, attentiveness and a can-do attitude
- Profiency in MS Office tools and ideally, a Business Management Software
- Excellent verbal and written communication skills
Education and Experience
- At least 3 years work experience in a similar administrative role or within supply chain/distribution
- In addition to the above, candidates coming from the manufacturing industry will be given preference
- An A Level Standard of Education will be sufficient
