The Compliance & Operations Executive will assist the Head of Compliance in ensuring the organisation operates efficiently and in line with regulatory requirements by maintaining and improving management systems and external certifications, while ensuring governance, documentation and reporting remain accurate, well-structured and audit-ready.
Responsibilities:
Maintain and protect the organisation’s management systems and external certifications, including ISO 9001 and ISO 14001, ensuring ongoing compliance with industry and regulatory requirements.
Oversee document control processes and maintain accurate compliance registers and records.
Organise internal audits and monitor corrective actions until all issues are fully resolved.
Assist with external certification and surveillance audits across approved standards and accreditations.
Ensure records and documentation remain current to meet regulatory, certification, and operational obligations.
Monitor adherence to internal policies and legal requirements, reporting any compliance gaps to senior management.
Contribute to preparations for new certifications, renewals, or extensions of existing certification scopes.
Analyse and map organisational processes to improve transparency, accountability, and alignment with established procedures.
Identify operational inefficiencies or process gaps and recommend improvements to strengthen consistency and control.
Produce reports, dashboards, and documentation while supporting risk assessments, governance activities, and executive administrative tasks.
Issue meeting agendas, coordinate submissions, record detailed minutes, and ensure action follow-up
Provide backup front office support when required
Monitor performance against quality, compliance and operational metrics
Support the preparation of management review inputs and certification performance summaries
Requirements:
3–5 years’ experience in management systems and certification environments (ISO and/or other regulated or accredited schemes)
ISO Internal Auditor Certification (mandatory) or ISO Lead Auditor (preferred)
Local experience in maintaining structured processes and ensuring procedural compliance, audit preparation and corrective action tracking
Strong administrative and executive support experience
Experience in technical services, engineering, construction or regulated environments is preferred
Fluency in English, written and spoken. Maltese language will be considered an asset
