Facilities and Project Coordinator

Our client, pertaining to the industry of development and management of Real Estate, is currently seeking a proactive and hands-on Facilities and Projects Coordinator to join their team. Reporting to the Properties Manager, the ideal candidate will play a key role in the coordination and execution of building maintenance activities, property upgrades, and new development projects. The key responsibilities will include the following: 

  • Provide day-to-day operational and administrative support to the Properties Manager.
  • Coordinate with architects, engineers, contractors, suppliers, and service providers for both ongoing projects and new developments.
  • Assist with the office leasing process, including scheduling and conducting property viewings.
  • Plan, manage, and monitor scheduled and ad-hoc maintenance tasks for properties.
  • Supervise contractors, maintenance teams, and security personnel, ensuring adherence to quality standards and contract terms.
  • Prepare, update, and manage technical documentation and office layout plans.
  • Track contractor performance and ensure works are delivered to the required standard.
  • Maintain organized records for maintenance activities and project documentation.
  • Act as the point of contact for tenants, resolving issues promptly and efficiently.
  • Support tenant office fit-outs, relocations, refurbishments, and handovers.
  • Perform basic maintenance tasks as required.
  • Respond quickly to building-related emergencies and manage follow-up actions.

Requirements

  • Previous experience in building maintenance and facility management.
  • Familiarity with preventive maintenance planning and emergency procedures.
  • Ability to interpret technical drawings, floor plans, and documentation.
  • Knowledge of building safety standards, health regulations, and security protocols.
  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with AutoCAD is an asset.
  • Strong organisational, coordination, and communication skills.
  • A hands-on approach and ability to multitask in a fast-paced environment.
