Assistant Operations Manager

  Central Malta  |  €25,000 - €30,000 Annually 

Our client, who is involved in investments is looking for an Assistant Operations Manager. The job holder will assist the Group Head of Operational Projects in planning and coordinating group-wide operational initiatives. Responsibilities include supporting administrative tasks such as preparing reports, updating guidelines, and analysing current operational performance to recommend improvements. Additionally, the role involves helping drive operational projects to ensure tasks are completed efficiently and on time.

Your responsibilities will include:

  • Collaborating with departments such as Legal, IT, HR, Marketing, Finance, and Government Advisory, as well as POs and DOs, to ensure projects positively impact the firm and improve day-to-day operations.
  • Assisting in developing and enhancing online tools and systems to better serve staff and client needs.
  • Supporting the preparation of reports and the improvement of standard operating procedures (SOPs) and working practices across the firm’s services.
  • Reviewing operational practices, recommending improvements, and identifying opportunities to streamline processes for greater efficiency.
  • Providing administrative support to the Group Head of Operational Projects.

Working Hours: Monday - Friday: 09:00 - 17:00

Requirements

  • 3+ years’ experience in quality assurance, administration, or project management within corporate environments.
  • Proven ability to enhance process and practice quality standards.
  • Proficient in Microsoft Word, Excel, PowerPoint, and CRM systems (Microsoft Dynamics 365).
  • Strong command of English, both written and verbal.
  • Excellent organisational, time, and task management skills, with the ability to prioritise under pressure.
  • Strong problem-solving skills and the ability to proactively prevent issues.
  • Exceptional communication skills, producing professional, error-free correspondence.
  • Solid understanding of business principles and operational quality standards.
  • Team-oriented, willing to provide support to colleagues when needed.

Education and Experience

  • Undergraduate degree in business, economics, marketing, or a related discipline; a Master’s degree is an advantage.
