Office Administration

  Central Malta  |  €20,000 - €22,000 Annually 

The Office Administrator is a key support role responsible for the day-to-day administrative and operational functions of a real estate office. This position ensures the office runs smoothly & provides excellent customer service to their clients.

Administrative and Agent Support:

  • Serve as the first point of contact for clients, answering phones and greeting visitors with a professional and friendly demeaner.
  • Assist real estate agents with preparing and managing listing agreements, purchase agreements, and other transaction-related documents.
  • Prepare closing files and ensure all paperwork is accurate and complete.
  • Manage agent schedules, calendars, and appointment bookings.

Office Operations:

  • Oversee general office upkeep, including ordering supplies, managing equipment maintenance, and ensuring a tidy and professional environment.
  • Process incoming and outgoing mail, correspondence, and marketing materials.
  • Assist with basic book keeping tasks, such as processing invoices and managing office expenses.

Requirements

  • Basic knowledge of digital marketing principles is a plus.

Education and Experience

  • Minimum 1 year experience ina similar role is a must
  • A proactive and highly organized individual with strong attention to detail.
  • Comfortable and proficient in using Google Docs and Google Drive.
  • Familiarity with social media platforms (Facebook, Instagram, LinkedIn) in a professional context.
  • An interest in or basic understanding of Google Analytics and content creation
  • Ability to work independently and manage multiple tasks efficiently.
  • Excellent written communication skills with the ability to maintain a corporate tone.
