Responsibilities:
Maintain and regularly update employee records, including HRIS data, personnel files, employment contracts, certifications, and benefits documentation, ensuring full compliance with GDPR requirements.
Prepare and provide weekly, monthly, bi-annual, and annual reports on employee timesheet entries in accordance with company procedures and performance metrics.
Assist with the monthly payroll process to ensure accuracy and timely salary payments.
Support the end-to-end recruitment process by drafting and posting job adverts, screening applications, coordinating interviews, liaising with hiring managers, preparing employment contracts, and assisting with onboarding activities to ensure a seamless hiring experience.
Contribute to the review, development, and implementation of HR policies, procedures, and related initiatives.
Serve as an initial point of contact for employees regarding HR and payroll-related queries.
Assist in the planning and coordination of training and development programmes, supporting initiatives that enhance employee skills, growth, and organisational capability.
Coordinate with relevant entities to apply for IIS funding schemes and CPE/CPA accreditation.
Support the implementation and monitoring of Health and Safety processes, ensuring equipment is maintained and compliant with required standards.
Monitor relevant OHSA legislation and communicate necessary updates to ensure organisational compliance.
Provide administrative support for disciplinary and grievance procedures, including preparing documentation and scheduling meetings.
Produce HR reports and key metrics such as billing, headcount, turnover, and leave data to support management decision-making.
Participate in HR improvement initiatives, including digital transformation projects and operational enhancements.
Proactively recommend ideas and initiatives to strengthen and improve overall HR processes and practices.
Requirements
Previous local experience within the HR function
Knowledge of HR practices and Maltese employment legislation
Strong understanding of payroll principles and related compliance
Ability to handle confidential information with discretion
