Human Resources Clerk

  Central Malta  |  €19,000 - €20,000 Annually 

We are looking for a suitable candidate within the retirement care industry for the role of Human Resources Clerk reporting directly to the Human Resources Executive with room for growth withing the company.

Responsibilities:

  • Assist with compiling and recording vacation leave approvals and tracking sick leave, including following up with Heads of Department (HODs) for submission of sick leave certificates.
  • Support the uploading and management of HR documents on SharePoint.
  • Aid in the preparation and distribution of employee engagement and termination forms.
  • Assist with setting up new employees on the punch clock system.
  • Communicate with new recruits for employment-related matters, and coordinate with internal departments—primarily Housekeeping and Maintenance/Security—for the issuance of access cards, locker keys, ID badges, and uniforms.
  • Complete Third Country National (TCN) forms for Identity Malta and follow up on pending HR documentation to finalize the recruitment process for single residency permit applications.
  • Fill out TCN forms for JobsPlus secondary work permits for part-time employees.
  • Maintain and update HR personnel files in preparation for Standards Authority (OPSA) inspections, annual HR audits for license renewal, and Quality Assurance Audits by the Active Ageing Department.
  • Support the monitoring and coordination of induction programs and ongoing annual training across departments in both operational care homes.
  • Carry out general HR and personnel administrative duties, including tasks related to the annual renewal of non-EU permits.
  • Perform general administrative and HR-related tasks, such as scanning documents, updating files, and undertaking other duties as assigned by the HR Executive.

Requirements

  • A minimum of 2 years experience in a similar administrative role
  • Excellent level of English and Maltese
  • Currently based in Malta
  • A relevant educational qualification.
