Our client is seeking a reliable and organised HR Administrative Officer to join their company.
The Main Responsibilities include:
Employment Lifecycle Management: Oversee the creation and processing of employment contracts, including any necessary extensions, amendments, or terminations.
Onboarding Documentation: Draft formal offer letters and ensure all mandatory employment paperwork is completed accurately.
Regulatory Compliance: Ensure all operations align with the Employment and Industrial Relations Act (EIRA).
Labor Authority Liaison: Handle all necessary registrations and formal communications with Jobsplus.
International Workforce Administration: Manage documentation for both EU and non-EU staff, specifically regarding Single Work Permits and general immigration compliance.
Payroll & Tax Support: Provide administrative assistance for payroll functions, including Social Security Contributions, FSS, and income tax.
Data Management: Maintain and update HR records and filing systems in strict accordance with GDPR standards.
Subcontractor Oversight: Verify and manage administrative documentation provided by external subcontractors.
Audit Preparation: Provide necessary support and documentation during internal or external audits and inspections.
Training Coordination: Organize staff training sessions and prepare necessary attendance records
Working Hours:
Monday - Friday, 8AM - 5PM
Requirements
Strong knowledge of Maltese labor law.
Excellent proficiency in Microsoft Office, particularly Excel.
A high degree of accuracy and a mindset focused on confidentiality and compliance.
Ability to report effectively to senior management and the HR Manager.
Familiarity with FSS, Social Security Contributions, and experience managing contractors or working in a multinational environment.
Education and Experience
2–4 years of experience in personnel administration and HR, with a preference for candidates who have worked in Malta
