Events Coordinator

Our client is looking to recruit an Events Coordinator to join their growing team. The chosen person will:

  • Plan, prepare, and deliver high-quality events from concept to completion.
  • Conduct client meetings, briefings, and site visits to determine event requirements.
  • Produce detailed event proposals including timelines, venues, suppliers, legal considerations, staffing, and budgets.
  • Book venues, suppliers, and service providers while negotiating the best possible rates.
  • Ensure all events comply with company insurance policies and legal, health and safety regulations (local, national, EU).
  • Liaise with venue management, caterers, designers, contractors, and equipment hire companies.
  • Plan site layouts, create run sheets for performers, and maintain detailed event timelines.
  • Ensure performers have adequate rehearsal time and all aspects of production are managed effectively.
  • Oversee on-site event operations, troubleshoot issues, and ensure smooth execution.
  • Collaborate with marketing and PR teams to promote events.
  • Work with designers and clients to develop event branding and collateral (e.g., posters, backdrops, catalogues).
  • Oversee the dismantling and removal of event materials.
  • Ensure the timely collection of staff timesheets and submission of purchase orders/invoices per company protocols.
  • Conduct post-event evaluations with clients and team members to identify areas of improvement.
  • Act as a point of contact for new and existing clients through email, phone, and in-person meetings.
  • Support the sales team in meetings, proposals, and responses to event-related inquiries.
  • Identify and research new markets and business opportunities.
  • Assist in meeting sales targets and developing long-term client relationships.
