A new opportunity has become available for a proactive and organised Operations Officer to support the smooth daily running of the Operations. Working closely with the Operations Manager, this role provides essential administrative, logistical, and cross-departmental support; contributing to operations, travel & logistics and accounting.

What You’ll Do
Operational Support
- Assist the Operations Manager with day-to-day administrative and logistical tasks.
- Conduct checks on company apartments, training facilities, and offices to ensure proper maintenance.
- Coordinate utilities, basic maintenance, supplies, and welcome packs.
- Carry out accommodation inspections, check-ins/outs, inventories, and utility readings.
- Maintain trackers, databases, calendars, and operational records.
Student Programme Support
- Support onboarding, documentation, accommodation readiness, and orientation logistics for students.
- Assist with accommodation arrangements, maintenance follow-ups, and basic student logistics (pickups, guidance, etc.).
Travel & Logistics Assistance
- Assist the Travel & Logistics Team with document collection, information confirmation, and coordination.
- Provide on-the-ground support for airport pickups, apartment preparation, and logistics for events or group movements.
- Update travel trackers and support invoice follow-up with Accounting.
Supplier & Procurement Follow-Up
- Coordinate with suppliers, cleaners, maintenance providers, and accommodation partners.
- Maintain service logs, supplier contacts, and procurement documentation.
- Obtain quotations, prepare purchase requests, and follow up on outstanding invoices.
Cross-Department Coordination
- Serve as a link between Operations, Travel & Logistics, and Accounting.
- Support internal workflows, meetings, workshops, and operational events.
- Assist with office administration, inventory management, filing, and document control.
What You Bring
Essential:
- Diploma or Bachelor’s degree in Business Administration, Logistics, Operations, or similar.
- 1–2 years of experience in operations, logistics, or administrative roles.
- Strong English communication skills, Arabic and other languages are highly preferred
- Valid Maltese driving licence.
- Excellent organisational and multitasking abilities.
- Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint).
- Ability to work efficiently in a fast-paced environment.
Desired:
- Experience with suppliers, procurement, or basic accounting support.
- Familiarity with accommodation coordination or student support functions.
- Strong interpersonal skills and a collaborative, service-oriented approach.
