Our client is on the lookout for an Care Home Operations Manager to join their growing team within the Care Industry in Malta.
Responsibilities:
Departmental Leadership
Provide effective leadership, guidance, and supervision across the following departments:
Nursing
Caring
Human Resources
Housekeeping
Maintenance
Activity Coordination and Customer Care
Front Office / Reception
Foster collaboration, accountability, and open communication across all teams.
Support department heads with recruitment, staffing, scheduling, training, and performance management.
Ensure a structured induction programme for new employees and ongoing professional development, including mandatory training compliance.
Lead regular departmental meetings and ensure timely resolution of operational challenges.
Ensure service delivery meets internal standards and all external regulatory requirements related to care, cleanliness, safety, and professionalism.
Promote staff discipline while maintaining a positive, respectful, and inclusive working environment.
Oversee the implementation and adherence to company policies and procedures.
Manage staffing levels, work schedules, and delegation of duties across departments.
Develop and implement departmental goals, objectives, and procedures in consultation with the General Manager, staff, and relevant authorities where required.
Facility and Operations Management
Oversee the physical infrastructure of the facility, including building systems (HVAC, plumbing, electrical, fire safety) and grounds.
Ensure effective implementation of preventive and corrective maintenance programmes.
Liaise with external contractors, suppliers, and service providers to ensure timely and high-quality service delivery.
Monitor and manage departmental budgets, procurement processes, and resource allocation.
Ensure full compliance with Maltese health, safety, and environmental regulations.
Monitor vendor and service contract performance to ensure quality and value.
Maintain accurate records related to facility operations, equipment warranties, service contracts, and maintenance logs.
Provide regular operational updates and written reports to the General Manager and Managing Director, including resident movements, incidents, and procurement needs.
Prepare clear, concise, and accurate internal and external reports as required.
Care Quality and Compliance
Work closely with the Nurse Manager to ensure clinical practices and care standards meet regulatory and internal quality requirements.
Monitor the implementation of care plans, audits, inspections, and health and safety protocols.
Oversee quality assurance systems, including resident satisfaction, incident reporting, and care documentation.
Ensure audits are completed on time and corrective actions are implemented effectively.
Ensure compliance with health and safety, infection control, and emergency response procedures across all departments.
Build and maintain partnerships with local community organisations and stakeholders.
Support resident-centred care, ensuring dignity, welfare, and safeguarding at all times.
Oversee the planning and delivery of resident activities.
Address resident and family concerns or complaints professionally and effectively.
Ensure accurate record keeping, notifications, and reporting in line with care quality regulations.
Monitor and control resource consumption within nursing and caring departments.
Ensure all accidents and incidents are properly recorded and managed according to procedure.
Strategic and Administrative Leadership
Act as a visible and accessible leader for residents, staff, and visitors.
Contribute to strategic planning and continuous improvement initiatives with the General Manager.
Represent the facility in meetings with authorities, suppliers, families, and external stakeholders when required.
Build and maintain strong, cooperative relationships with regulatory bodies and key partners.
Review operational performance data and implement improvements based on feedback, risk assessments, and performance metrics.
Respond promptly to emergencies or urgent operational issues, including outside regular working hours when required.
Identify opportunities for cost control, efficiency improvements, and service enhancement.
Anticipate operational issues, plan appropriate action plans, and ensure timely completion within set deadlines.
Carry out any other duties reasonably assigned by the Board of Directors or their representatives in line with operational needs.
Requirements:
Proven local experience in facility or operations management, preferably within healthcare, elderly care, or residential environments.
Demonstrated ability to lead and manage multidisciplinary teams.
Strong organisational, interpersonal, and communication skills.
A genuine passion for working with people and delivering resident-centred care.
Sound decision-making and problem-solving abilities.
Knowledge of Maltese legislation related to health, care services, human resources, and occupational safety.
Proficiency in Microsoft Office applications.
Degree or diploma in Health or Social Care Management, Facilities Management, Nursing, Human Resources, or a related field.
Certification in Occupational Health and Safety (e.g. NEBOSH, IOSH).
Knowledge of elderly care standards, including dementia care, resident dignity, and safeguarding.
