Receptionist

  Central Malta  |  Up to €20,000 Annually 

The Receptionist provides front-desk customer service and administrative support to ensure the smooth daily operation of the offices. The role involves client communication, record keeping, invoicing support, and coordination of boat and visitor information.

Responsibilities

  • Answer phone calls, greet clients and visitors, and manage reception and info emails
  • Check in visitors, issue out-of-hours forms, gate keys, and manage key fobs and master keys
  • Notify clients of received mail or packages
  • Update, scan, and maintain documents and records
  • Prepare job sheets, check shift handover logs, and manage stationery orders
  • Maintain boat records (arrivals, departures, berth/pedestal assignments, waiting lists)
  • Manage statistics and check expired documentation
  • Support invoicing: monthly invoices, visitor invoicing, deposits, transfers, and quarterly checks
  • Contact clients regarding vessel movements and return dates
  • Prepare daily ropes cleaning lists and update logs
  • Manage bookings and general operational support

Requirements

  • Strong customer service and communication skills
  • Good organisational skills and attention to detail
  • Ability to multitask in a busy front-desk environment

Education and Experience

  • Previous experience in a similar role
  • Relevant educational background
