A client of ours operating within the legal industry, is seeking an Office Administrator with a focus on reception duties who will also efficiently manage day-to-day office operations.
Responsibilities will include:
Filing and maintenance of accurate and updated records
Taking and directing incoming calls, and handling inquiries via phone/email correspondence
Scheduling client and internal meetings, and greeting and assisting guests.
Ordering and management of supplies
Liaison with cleaning and maintenance staff
Providing assistance with coordination of office events and activities.
Being the point of reference for staff and external stakeholders, including service providers
Requirements
Fluency in both Maltese AND English is mandatory
Excellent written and verbal communication skills
IT literacy, including proficiency in Microsoft Office suite (Outlook, Word, Excel, etc.)
Commitment to handling confidential information with discretion
Ability to organise, prioritise work, multi-task, take initiative and pride in their role, and work in a team in a fast-paced environment
Education and Experience
A Level Standard of Education, as a minimum
Prior experience in office management and administrative support is a must
Prior experience working in a legal setting, CSP or similar environment is a must
