Front Office Administrator

  Central Malta  |  €20,000 - €24,000 Annually 

Our client who operates in Real Estate, is looking for a Front Office Administrator to join their growing team. Reporting to the Operations Manager, your responsibilities will include: 

  • Taking ownership of the day-to-day functioning of the front office including scheduling maintenance, handling all communication between suppliers & the Company, greeting guests, offering beverages & ensuring that all meeting rooms are prepared and fully stocked with marketing material and stationery at all times
  • Being the main point of contact for mail processing, including taking any registered mail to the post office as scheduled & following up on its status with the relevant members of staff
  • Providing administrative support to all employees with regards to data inputting, liasing with clients & management, scheduling appointments, organising files and assisting with content creation
  • Ensuring the smooth running and upkeep of the office with regards to consumables, stationery and other office supplies as required whilst keeping tabs on such expenses and costs
  • Coordinating reservations with restaurants or lunch orders for the Directors
  • Coordinating bookings for local conferences & staff training events which may include handling travel arrangements for international events
  • Any other administrative duties which may be assigned from time to time

Requirements

  • Candidates must be already based in Malta, with the legal right to work in Malta
  • Proficient and independent user of Microsoft Office Word and Outlook. Basic use of excel is desired.
  • Excellent written and verbal communication skills in English. The ability to speak other languages will be considered an asset
  • Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadline
  • Ability to communicate effectively with a variety of constituent groups such as senior management, clients, and outside contact
  • Strong attention to detail and able to think outside the box and an impeccable personal presentation

Education and Experience

  • Local experience in a previous administrative/ front office role is mandatory
  • An A Level Standard of Education as a minimum, is mandatory
