Assistant Officer - Administration (Technical Operations)

We are seeking an Assistant Officer (Technical Operations) to join our client's team on a full-time, indefinite basis. This role is centered on providing high-level administrative and operational support to ensure the smooth coordination of technical projects and internal communications.

  • Operational Support: Provide comprehensive administrative and clerical assistance to management and project teams, including scheduling and record management.
  • Documentation: Draft, review, and finalize procurement documents such as Requests for Quotations (RFQs) and Terms of Reference (ToR).
  • Reporting: Coordinate project monitoring documentation and prepare progress reports and updates for various media platforms and meetings.
  • Communication: Serve as a point of contact for internal departments and handle incoming/outgoing correspondence professionally.
  • Content Preparation: Assist in the high-level proofreading and formatting of official documents, reports, and presentations.
  • Event Coordination: Support the organization of meetings and workshops, including agenda preparation and following up on action items.
  • Filing: Maintain organized electronic and hard copy filing systems

Requirements

  • Experience: Preferably three (3) years of relevant work experience
  • Languages: Proficiency in Maltese and/or English.
  • Technical Skills: Proficiency in Microsoft Office Tools and analytical/statistical tools.
  • Soft Skills: Strong negotiation, communication, analytical, and organizational skills with high attention to detail.
  • Compliance: Applicants with foreign qualifications must provide an MQRIC recognition statement.

Education and Experience

  • Education: A recognized Diploma at MQF Level 5 (minimum 60 ECTS) in Business, Business Administration, Project Management, or a related field

Benefits

  • Performance Bonus: Up to 15% of the basic salary based on performance.;
  • Allowances: Communication Allowance: €500 per annum.
  • Resource and Training Allowance: €250 per annum.
