Shipping Administrator

  Central Malta  |  €28,000 - €30,000 Annually 

Our client specialising in corporate, commercial, maritime, aviation, financial services, and litigation are seeking a Shipping Administrator.

Main Responsibilities:

  • Coordinate closely with internal departments such as Accounts, Corporate, and Compliance to streamline processes related to billing and vessel registration.
  • Keep meticulous and up-to-date records while ensuring all operational procedures are followed precisely and within the required timeframes.
  • Handle the full lifecycle of vessel documentation, including registration, renewals, and crew certification, ensuring all paperwork is processed efficiently.
  • Provide administrative support by managing archiving systems, tracking billable hours, and overseeing the maintenance of organized internal files.
  • Draft and issue invoices, monitor outstanding balances, and manage debt recovery in coordination with the finance team.
  • Act as a key point of contact with both local and international maritime authorities such as Transport Malta, maintaining professional and timely communication.
  • Support legal teams by responding to client inquiries related to company setups and vessel or yacht registrations, while ensuring smooth communication and thorough documentation.

Requirements

  • Minimum A - Level Standard of Education
  • A qualification in administration or Maritime Studies is considered advantageous.
  • Knowledge of both English & Maltese is a must
  • Demonstrates strong proficiency in Microsoft Office and possesses solid overall computer skills.
  • Capable of taking initiative and working autonomously, while also contributing effectively within a team-oriented setting.
  • Skilled in organising workload efficiently, handling multiple priorities, and performing well in high-pressure environments.

Education and Experience

  • Prior experience in the maritime sector or a comparable administrative position is strongly preferred.
  • An A' Level standard of education is essential
