Compliance and Administration Officer

  Central Malta  |  €26,000 - €32,000 Annually 

This is an exciting opportunity for a structured, detail-driven professional to join a growing education institution accredited by the MFHEA. In this role, you’ll be at the heart of our compliance and administrative operations ensuring that the organisation remains aligned with regulatory standards, that academic governance runs smoothly, and that corporate documentation is always accurate and up to date.

What You’ll Be Doing

  • Corporate Administration & Company Filings
  • Maintain key company registers and statutory records while keeping documentation fully updated.
  • Coordinate with accountants, auditors, and corporate service providers on regulatory and corporate matters.
  • Support the preparation and submission of annual returns, resolutions, financial statements, and other compliance filings.
  • Track and meet all regulatory deadlines and assist with structural updates such as changes in directors or shareholding.

Finance & Annual Compliance Support

  • Work with finance teams on vendor management, invoice filing, audit preparation, and reporting needs.
  • Organise all documentation for annual audits and compliance submissions to MFSA / MFHEA.
  • Maintain secure, organised files in line with GDPR and internal data-handling standards.
  • MFHEA & Academic Governance Compliance
  • Support the preparation of documentation for MFHEA accreditation, programme validation, and internal quality assurance reviews.
  • Prepare and maintain minutes for academic committees, including the Academic Board and Quality Assurance bodies.
  • Keep institutional policies, programme documents, and QA records updated and version-controlled.
  • Coordinate academic audits and ensure internal follow-up actions are completed.

General Administrative & Institutional Support

  • Provide administrative support to senior management and academic leadership.
  • Assist with onboarding lecturers, agents, and academic partners.
  • Organise meetings, maintain calendars, and manage institutional documentation systems.
  • Contribute to improving internal processes and administrative workflows.

What You Bring

  • At least 2+ years’ experience in administration or compliance — ideally in education, corporate services, regulatory, or legal settings.
  • Familiarity with Malta corporate compliance procedures (an advantage).
  • Excellent organisation, documentation, and record-keeping skills.
  • Professional communication skills in English, both written and spoken.
  • Ability to manage multiple deadlines with accuracy, confidentiality, and strong time management.
  • Proficiency in Microsoft Office and online collaboration platforms such as SharePoint or Google Workspace.
