Senior Front Officer Administrator

Our client within the Financial Services Industry is looking for an experienced Senior Front Officer Administrator. Your responsibilities with include: 

  • Welcome visitors in a warm and professional manner, creating a positive first impression.
  • Oversee the daily operations of the reception to ensure smooth and efficient service.
  • Guide and support the Front Office Administrator when needed.
  • Handle incoming calls and emails, directing queries to the right people or departments.
  • Keep the reception area tidy, organised, and welcoming.
  • Build good working relationships with colleagues, stakeholders, and external providers.
  • Manage and maintain the visitor management system.
  • Oversee the logging, distribution, and tracking of incoming mail and correspondence.
  • Coordinate meeting arrangements, including scheduling, room setup, and logistics.
  • Manage filing systems, calendars, and meeting schedules, ensuring accurate records.
  • Process invoices, including posting, reconciling, and collecting receipts.
  • Support credit control activities and related follow-ups.
  • Assist with preparing documentation for annual audits.
  • Coordinate travel arrangements when required.
  • Provide administrative support for events, courses, and training sessions.
  • Carry out other administrative tasks as assigned by management.

Working Hours: Monday - Friday  

1st January - 15th July: 0800hrs - 1700hrs 

16th July - 14th September: 0800hrs - 1330hrs 

15th September - 31st December: 0800hrs - 1700hrs

Requirements

  • Strong communication skills in both Maltese and English.
  • Good knowledge of Microsoft Office and other office tools.
  • Friendly, professional attitude and a positive approach to teamwork.
  • Very organised, with good attention to detail.
  • Able to keep a high standard of service in all admin and front-desk tasks.

Education and Experience

  • MQF Level 4 qualification (ideally in Administration or Secretarial Studies) with at least 3 years’ experience, or a school-leaving certificate with at least 6 years’ experience.
