Our client is on the look out for an experienced administrative professional to join their team as a Secretary. The successful candidate will be responsible for a variety of tasks, including:
Manage diaries, schedule meetings, and coordinate travel arrangements.
Handle incoming calls, emails, and correspondence, ensuring timely responses and professional communication.
Maintain filing systems (both digital and hard copy) in line with the firm’s policies.
Liaise with clients, courts, and other external parties depending on the exigencies.
Open and close client files in accordance with the firm’s procedures.
Prepare documentation for hearings, transactions, or client meetings.
Monitor case deadlines and ensure compliance with relevant timelines.
Assist with tasks relating to the firm’s time management software.
Support the onboarding of new clients and assist with KYC and compliance documentation.
Ensure office supplies and resources are maintained efficiently.
Requirements
Excellent command in both English AND Maltese is a must
Impeccable organizational and communication skills
Proficiency in Microsoft Office Suite & Excel
Ability to multitask, prioritize tasks and work independently
