We are seeking a highly organized, proactive, and discreet Private Personal Assistant to support our Client. The ideal candidate will be an experienced professional with a proven track record in a similar role, possessing a unique blend of administrative, property management, and stakeholder relations skills. This position requires a high level of confidentiality, professionalism, and the ability to anticipate needs and handle a wide range of responsibilities with minimal supervision.
- Serve as the primary point of contact for the executive, managing a complex and ever-changing calendar, scheduling meetings, and coordinating appointments.
- Manage all aspects of travel arrangements, including booking flights, accommodations, ground transportation, and creating detailed itineraries.
- Screen and prioritize incoming communications (emails, calls, mail), flagging urgent matters and responding on behalf of the executive when appropriate.
- Handle confidential and sensitive matters with the utmost discretion and professionalism.
- Run personal errands and handle various personal appointments.
- Proactively identify and address potential issues or conflicts, offering solutions and recommendations.
- Maintain a high level of confidentiality regarding all business and personal matters.
- Provide support for special projects as needed.
- Oversee the management and maintenance of local and international personal properties, including scheduling repairs, and coordinating with multiple vendors, and managing logistical matters.
- Act as the primary liaison with contractors, and relevant service providers.
- Build and maintain strong, professional relationships with all stakeholders.
- Draft and proofread communications, ensuring a consistent and professional tone.
