Personal Assistant

  Central Malta  |  Up to €33,000 Annually 

Our client is looking for a highly organised and detail-oriented Personal Assistant to join their growing team. This role will provide light administrative support to two Partners, as well as broader support to the wider team, with a focus on document preparation, proofreading, updating presentations, and general office coordination. Reporting directly to the Executive Assistant, you will be guided and supported in your day-to-day priorities and overall professional development.

Key Responsibilities

  • Proofread documents, reports, and correspondence to ensure accuracy, clarity, and consistency of tone.
  • Update and format presentation materials in line with Delfin’s brand guidelines.
  • Assist with the preparation of briefing notes and meeting packs.
  • Provide light diary management for two Partners, including scheduling meetings, travel, and calls.
  • Coordinate meeting logistics, book rooms for the wider team, and ensure all necessary materials are ready in advance.
  • Process expenses and assist with basic finance-related administration.
  • Arrange travel bookings, couriers, and other ad hoc logistics as required.
  • Contribute to internal projects, events, and marketing initiatives.
  • Liaise with internal and external stakeholders in a professional and courteous manner.
  • Provide general operational and office support when needed.

Skills & Experience

  • 3–5 years of experience in an administrative or PA role.
  • Excellent written English with strong proofreading and formatting ability.
  • High attention to detail and accuracy, with a focus on quality presentation.
  • Strong organisational skills with the ability to manage multiple tasks at once.
  • Proficiency in Microsoft 365, particularly Outlook, PowerPoint, and Word.
  • Professional, discreet, and motivated to develop within a family office environment.
  • Trustworthy and discreet, with a natural ability to maintain confidentiality.
  • Proactive, anticipatory, and composed under pressure.
  • Personable, collaborative, and aligned with Delfin’s values of quality, independence, trust, and community.
