Personal Assistant (PA)

  Central Malta  |  €35,000 - €40,000 Annually 

Our client is looking for a highly organized and professional Personal Assistant to support senior leadership within within the company. This role requires strong attention to detail, excellent time management, and the ability to handle confidential information with discretion. 

The ideal candidate will be comfortable working in a fast-paced, high-level business environment and supporting a range of executive and operational related tasks.

The Role

  • Manage calendars, schedule meetings, and coordinate travel and logistics for senior executives.
  • Prepare and edit correspondence, reports, presentations, and briefing materials.
  • Handle email and phone communications, responding or redirecting as appropriate.
  • Support coordination of internal meetings, board sessions, and stakeholder events.
  • Maintain records related to governance, compliance, and internal policies.
  • Liaise with departments such as Legal, Finance, and HR to ensure efficient project execution.
  • Organize and maintain documentation related to projects.
  • Monitor timelines and deadlines for business initiatives.
  • Oversee document management systems for easy access to corporate and investment files.
  • Coordinate procurement, office resources, and external vendor communications.
  • Track action items and ensure timely follow-ups with relevant stakeholders.

Requirements

  • Excellent organizational and multitasking abilities.
  • Previous experience as a Personal Assistant, Executive Assistant, or similar role,
  • High level of discretion and professionalism when handling sensitive information.
  • Preferably have tertiary qualifications
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong communication skills, both written and verbal.
