One of our clients operating within the Healthcare industry, is seeking a highly organized, discreet, and proactive Personal Assistant (PA) to support the CEO. The PA will act as a key point of contact between the CEO and internal/external stakeholders, providing comprehensive administrative and operational support to ensure the smooth functioning of the CEO’s office and the broader executive operations.
Key Responsibilities:
- Manage and coordinate the CEO’s calendar, schedule meetings, appointments, and travel arrangements.
- Prepare and organize documents, reports, presentations, and correspondence on behalf of the CEO.
- Attend and take minutes at executive meetings, ensuring follow-up on action items.
- Screen incoming communications (calls, emails, mail), prioritize responses, and handle queries where appropriate.
- Liaise with senior management, board members, medical staff, and external partners as needed.
- Organize and coordinate board meetings, events, and VIP visits.
- Maintain confidentiality and handle sensitive information with discretion and integrity.
- Support project management tasks and track deadlines for strategic initiatives.
Requirements
- Candidates must already be working in Malta
- Exceptional organizational and time-management skills
- Strong verbal and written communication abilities
- High level of discretion and professionalism
- Proficiency in MS tools
- Ability to multitask, prioritize tasks, and work under pressure
Education and Experience
- Prior local experience as a PA, Executive Assistant, or similar role supporting senior executives is a must
- A Level Standard of Education as a minimum
- Qualifications in Business Administration, Health Administration, or related field is a plus
