Our client is looking to onboard an Office Administrator to assist with the day-to-day operations of the office, coordinating facilities, and supporting workplace logistics.
Responsibilities
Oversee daily office and facilities operations to ensure smooth and efficient functioning
Manage relationships with vendors, contractors, and service providers, including cleaning and maintenance teams
Maintain a safe, functional, and welcoming office environment
Coordinate office logistics, including meeting room scheduling, supplies management, and workspace organization
Support office renovations and contribute to workspace planning initiatives as needed
Process and manage facilities-related invoices in collaboration with the Accounts department
Ensure compliance with health and safety regulations
Assist the administrative team with events, office activities, internal communications, and daily operational requirements
Collaborate closely with the CEO and HR to enhance the overall workplace experience
Requirements
Proven experience in facilities management, office management, or workplace operations
Fluency in both Maltese and English is required
Strong organizational and time-management skills
Ability to manage multiple vendors, priorities, and tasks simultaneously
Proactive mindset with the ability to remain calm and solution-oriented when handling unexpected issues
