Office Administrator

  Central Malta  |  Up to €24,000 Annually 

A leading real estate branch is seeking a responsible, reliable, and highly organised Office Administrator, also acting as a Personal Assistant to support the Branch Manager and ensure the seamless day-to-day running of the office.

This is a pivotal position within the team, perfect for someone who takes pride in ownership, thrives on organisation, and enjoys being at the centre of operations.

What You'll be Doing

Personal Assistant & Managerial Support

  • Provide dedicated administrative support to the Branch Manager
  • Manage, prioritise, and follow up on tasks effectively
  • Handle sensitive matters with discretion and confidentiality
  • Liaise with Head Office, suppliers, and service providers
  • Coordinate schedules, meetings, and ongoing requests

Administrative & Office Management

  • Oversee daily office operations to ensure efficiency and organisation
  • Maintain accurate filing systems (digital and physical)
  • Ensure all records and documentation are up to date and accessible
  • Manage office supplies, upkeep, and presentation
  • Support adherence to internal procedures and standards

Property & Financial Administration

  • Upload and manage property listings across internal systems and platforms
  • Maintain property files, contracts, and documentation
  • Assist with VAT returns and basic financial tasks
  • Track deadlines, submissions, and records with precision

Communication & Coordination

  • Communicate professionally with clients, suppliers, and internal teams
  • Represent the Branch Manager and office with professionalism
  • Provide administrative support to the wider team when required
