Office Administrator

  Central Malta  |  €18,000 - €21,000 Annually 

Our client is seeking an Office Administrator, reporting directly to the General Manager. This multifaceted role is the backbone of our administrative operations, requiring an individual with a keen eye for detail and exceptional organisational skills. Responsibilities :

  • Executive & Team Support: Provide comprehensive administrative support to the General Manager and the wider team, ensuring their focus remains on strategic goals.
  • Communication Hub: Serve as the primary point of contact, efficiently handling email enquiries, answering incoming calls, and managing message redirection.
  • Data Management & Reporting: Perform accurate data entry and generate various reports, ensuring timely and insightful information flow.
  • Office Operations: Oversee general office management, including the processing of purchase requisitions and managing employee attendance records.
  • Process Efficiency: Proactively follow up on pending correspondence and documents to maintain an efficient workflow.
  • Sales Administration: Handle the processing of bulk orders for delivery and manage the associated invoicing.
  • General Support: Undertake ad-hoc administrative tasks and special projects as directed by the General Manager.
  • Operational Backup: Step in to replace the Cash Desk Officer when required.

Office hours from 06:00 till 14:30 from Monday to Friday (incl. 30mins unpaid break)

Requirements

  • Proven, strong organisational skills and a highly detail-oriented approach.
  • The ability to communicate efficiently and professionally with team members, clients, and suppliers.
  • Fluent in both written and spoken Maltese and English.
  • Strong IT Skills, with excellent command of MS Office (especially Excel and Word).
  • The ability to work effectively in a busy, fast-paced environment.
  • Previous experience in administration or a similar role.

Education and Experience

  • An O-level standard of education.
