Our client within the CSP sector, is looking to employ a Junior Operations Officer to join their growing team. Reporting to the Head of Administration, the chosen candidate will:
- Monitor the Administration Inbox continuously, ensuring all incoming emails are reviewed, assigned, and responded to promptly.
- Prioritise client requests and internal communications, escalating urgent matters as needed.
- Maintain professional tone and accuracy in all written correspondence.
- Process and log client requests in internal systems, ensuring data integrity.
- Coordinate with product providers to implement requested changes.
- Keep clients informed throughout the update process, providing clear timelines and confirmations.
- Support preparation, review, and tracking of legal and client-related documents.
- Ensure compliance with internal procedures and external deadlines.
- Update internal databases upon completion of actions and liaise with product providers to confirm fulfilment.
- Prepare comprehensive meeting packs, including agendas, presentations, and supporting documents.
- Verify that all materials are accurate, up-to-date, and uploaded to the internal systems.
- Assist in scheduling meetings and distributing relevant documentation to attendees.
- Grant, manage, and revoke secure access credentials for the Client Portal.
- Guide clients through portal navigation, troubleshoot access issues, and resolve general queries.
- Document portal-related interactions and follow up to ensure client satisfaction.
- Respond to spontaneous requests from clients and internal teams with professionalism and accuracy.
- Undertake special projects and data-gathering tasks as assigned.
- Coordinate with other departments to streamline processes and improve service delivery.
Requirements
- Excellent attention to detail and accuracy, with the ability to manage multiple tasks and prioritise effectively.
- Strong communication skills, both written and verbal, with a professional and client-focused approach.
Education and Experience
- Relevant experience in office administrative, operations, or customer service roles within the financial industry, particularly in processing client-related requests and managing client data is given preference.
- Proficient in Microsoft Office - including Word, Excel, PowerPoint, and Outlook.
