Our client in the cruise services industry is seeking a highly organised, multi-skilled Junior Administration Officer to join their team in Malta. This is a crucial support role, ensuring the smooth running of the office and providing administrative support across various departments.
The Main Responsibilities include:
- Compliance & Communication: Handling communication with the Maltese Social Security System, Tax, and Health Departments.
- International Liaison: Daily communication with the Crewing and Payroll Departments in the Cyprus Office via email and telephone.
- HR Support: Systematically updating the company's HR Software System and assisting with the on-boarding of new employees.
- Documentation: Ensuring all necessary documents for crew registration are in hand, chasing any missing information, and ensuring everything is in order.
- Office Management: Maintaining office supplies and monitoring stock levels , arranging necessary repairs for any electronic equipment , and providing general office support as necessary.
- Administration: Ensuring accurate and timely reporting , maintaining an up-to-date and accurate filing system , and maintaining and updating contacts lists.
- Confidentiality: Maintaining the confidentiality of all information received, including personal, sensitive, or confidential data, office budget, or account activity, with discretion.
- Project Flow: Developing and maintaining a project and activity system to ensure that all deadlines and obligations are met as scheduled. They will also ensure office business activities continue when management is out
Working Hours:
Monday - Friday, 07.30-16.00
Requirements
- Computer literacy is a must (Proficiency in MS Office applications, Windows environment).
- Must have proficiency with computers, phones and office equipment.
- Excellent written and verbal communication skills in the English language
Education and Experience
- A Diploma in Secretarial Studies or Business Administration is preferred
- Must have proven experience as an Office Administrator or similar
- Experience with Calendar management.
