We are representing a client seeking a highly organized and proactive professional to support their partners and coordinate key business operations. The Executive Business Coordinator will have personal assistant responsibilities with operational, HR and client-facing functions.
Responsibilities:
Coordinate and monitor departmental initiatives, track timelines, and provide progress updates to relevant stakeholders.
Maintain and update client information, job records, and interactions within the CRM to ensure accuracy and efficiency.
Provide full administrative and PA support to the partners, including diary management, correspondence, travel coordination, and meeting arrangements.
Assist with client-facing activities such as preparing proposals, quotations, and meeting documentation, ensuring timely follow-up.
Contribute to financial and administrative processes in accordance with company policies and procedures.
Support HR administration, including onboarding, maintaining employee records, and handling related documentation with strict confidentiality.
Assist with regulatory and compliance requirements, including data gathering, reporting, and policy implementation support.
Organize and prioritize tasks to enhance overall team productivity and workflow.
Contribute to business development efforts and continuous operational improvement initiatives when required.
Carry out additional responsibilities as assigned by the partners.
Requirements
Experience as a PA to senior management or in business administration, ideally within a Corporate Service Provider
Highly trustworthy and responsible, with the ability to handle sensitive HR and partner-related information confidentially.
Proficiency in CRM systems and Microsoft Office Suite
Excellent written and verbal communication skills and the ability to liaise professionally with clients and internal teams.
