Data Protection & Administration Manager

  Central Malta  |  €31,300 - €37,000 Annually 

Our client is looking for a Data Protection & Administration Manager who will be responsible for ensuring the Agency’s full compliance with the General Data Protection Regulation (GDPR) and all other applicable data protection laws. The role also entails leading and coordinating administrative functions within the Office of the Chief Executive Officer, including internal communications, meeting and travel coordination, and the preparation of reports and presentations. The Manager will ensure that all personal data processing within the Agency is conducted lawfully, transparently, and securely, while upholding high standards of administrative efficiency, professionalism, and confidentiality across the CEO’s Office.

Responsibilities

  • Identifying and reviewing data processing activities to ensure alignment with legal requirements.
  • Organising and delivering staff training sessions to promote awareness of data protection obligations.
  • Conducting regular Data Protection Audits to assess compliance and identify areas for improvement.
  • Advise and issue recommendations to the Chief Executive Officer, as the Agency’s Data Controller, as well as to relevant Data Processors and officers engaged in data processing activities.
  • Determining when outsourcing is required and ensuring that related contracts include compliant data protection clauses.
  • Participate in meetings where data processing or new digital systems are discussed, particularly those concerning the digitalisation of public administration.
  • Maintain comprehensive records of all personal data processing activities within the Agency.
  • Serve as the primary contact point for data subjects regarding the collection and processing of their personal data and the exercise of their rights under relevant legislation.
  • Liaise with the Information and Data Protection Commissioner (IDPC) and other supervisory authorities on matters related to data processing, including prior consultations when necessary.
  • Act as the Agency’s main contact point for data protection matters, including the management of personal data breaches, ensuring compliance with the notification and reporting obligations established by the GDPR.
  • Provide expert advice to management on data protection, confidentiality, and information security matters.
  • Maintain the highest standards of confidentiality and discretion in line with Union and Member State law.
  • Prepare official correspondence, communications, and documentation on behalf of the Chief Executive Officer.
  • Coordinate meetings, travel arrangements, and itineraries, ensuring timely and effective execution of administrative tasks.
  • Draft, compile, and prepare reports, briefing notes, presentations, and other internal documentation as required.
  • Foster collaboration across the Agency to support the implementation of internal communication strategies and related policies.
  • Work closely with the CEO and senior management to plan, coordinate, and support ad hoc events and initiatives promoted by the Agency.
  • Represent the Agency in internal and external meetings and events as directed by Senior Management.
  • Undertake other operational duties as may be assigned by the Head of Department or Chief Executive Officer (CEO), including responsibilities related to emergency response coordination.
  • Participate in training and professional development opportunities to support continuous growth and skills enhancement.

Requirements

  • MQF Level 5 in Business Administration/Management/Law or Data Protection with 2 years experience OR 
  • MQF Level 6 in Business Administration/Management/Law or Data Protection with 1 year experience
  • MQF Level 5 or 6 in Data Protection/GDPR OR a recognised certification 
  • Proficient in both Maltese & English
  • Demonstrates a strong willingness to learn and grow professionally
  • Highly task-oriented with a positive, can-do attitude
  • Analytical and data-driven in approach
  • Committed to delivering excellent service
  • Proficient in Microsoft Excel
  • Ideally experienced in a decision-making or leadership role
