Administrative Officer

  South of Malta  |  €25,000 - €28,000 Annually 

Our client operating in the bus service industry is seeking a highly organized and proactive Administration Officer to support the smooth operation of their office. The successful candidate will be responsible for maintaining documentation, managing office supplies, and providing general administrative assistance across departments while ensuring compliance with internal and external administrative procedures. The Key Responsibilities are:

  • Organize and maintain office documentation in both physical and digital formats.
  • Respond to internal and external requests for documentation in a timely and professional manner.
  • Draft, proofread, and format a variety of documents, including correspondence, reports, and presentations.
  • Manage document administration in line with company policies and standards.
  • Order and monitor office supplies, ensuring effective liaison with external suppliers.
  • Provide day-to-day administrative support to other departments as needed.
  • Ensure all administrative tasks comply with local regulations and company deadlines.

Requirements

  • Minimum 1–2 years in a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable working within Google Workspace (Docs, Sheets, Drive).
  • Quick to learn and adapt to internal systems and software.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Native-level English required but knowledge of Maltese and Spanish is considered an asset.

Education and Experience

  • Associate Degree, Higher National Diploma (HND), or equivalent in Business Administration or a related field.
