The Administrative Executive will provide comprehensive administrative support to the hotel’s senior management while assisting with day-to-day HR administration. This dual role requires excellent organisational skills, a proactive approach, maturity, and hands-on experience in both administration and HR within the local Maltese context.
Executive & Administrative Support
- Provide direct administrative assistance to senior executives and department chiefs, including scheduling, travel arrangements, and correspondence.
- Prepare reports, presentations, meeting materials, and other documentation as required.
- Conduct research and compile background information to support management initiatives and decision-making.
- Take minutes during executive meetings, ensuring timely distribution and follow-up on action items.
- Maintain an organised documentation library and version-controlled filing system for internal reference and compliance.
- Liaise with internal departments, suppliers, and external stakeholders on behalf of management.
- Support procurement, stock control, and other operational functions as needed.
Human Resources Administration
- Oversee HR administrative processes including recruitment, onboarding, contract management, and employee records.
- Ensure full compliance with Maltese employment law, company policies, and GDPR requirements.
- Manage payroll inputs, leave tracking, and timekeeping documentation.
- Act as a point of contact for employee relations, addressing queries and supporting welfare initiatives.
- Assist management with performance appraisals, training coordination, and disciplinary procedures.
- Support staff engagement, communication, and retention initiatives.
Requirements
- Excellent written and verbal communication skills in English (Maltese is an asset).
- Highly organised, detail-oriented, and able to manage multiple priorities.
- Strong IT proficiency (MS Office suite; HR/payroll software exposure preferred).
- Professional, discreet, and able to handle sensitive information with confidentiality.
Education and Experience
- Minimum 2 years local experience in administration and/or HR is a must
- Experience in the hospitality, hotel, or catering industry is desirable
- Degree in Business Administration, HR, or related field is a huge asset
