Our Client, a long established Group of Companies with diversified operations are looking for an Administrative Assistant. The successful candidate will work closely with, and report directly to, the Group’s Director of Legal, supporting the company’s real estate activities as well as legal and compliance matters across the group. The employee will be habitually working in Valletta and may be occasionally requested to report to the main offices in St Julian’s or other locality in Malta.
Key Responsibilities:
Report to the Director of Legal on daily updates, achievements, and issues requiring attention.
Handle daily administrative tasks, including answering calls, scheduling, filing documents (both physical and digital), and maintaining organized records.
Coordinate meetings and events, including preparing agendas and relevant materials.
Support project management by tracking deadlines and facilitating communication between stakeholders.
Assist in the preparation and processing of documentation, presentations, and reports for internal and external purposes.
Provide general secretarial and administrative support as needed.
Liaise with vendors and clients, ensuring high levels of customer service.
Maintain office supplies and manage inventory.
Support the sales and marketing efforts of the Company’s real estate portfolio.
Working Hours: Monday - Friday: 08:00 - 17:00
Requirements
Must have has at least two years of administrative experience and strong Microsoft Office skills.
Excellent organisational and time management skills.
Strong communication and interpersonal abilities.
Hold an excellent level of written and verbal English
The chosen candidate must Candidates must already be based in Malta.
