Our client is looking for a detail- oriented Administration Executive to manage a range of administrative responsibilities. The ideal candidate will oversee daily office tasks such as scheduling appointments, entering data online, coordinating with staff, and maintaining records related to leave and sick days.
Duties include but are not limited to:
- Schedule and manage appointments and bookings
- Organise and maintain the office calendar efficiently
- Facilitate coordination between management and the sales team
- Track and update employee leave and sick leave records
- Provide general administrative support as required
- Monitor and manage office supplies and inventory levels
- Handle all incoming and outgoing correspondence
- Prepare and circulate meeting agendas, minutes, and related documents
- Support HR functions, including maintaining personnel records and assisting with onboarding
- Arrange travel logistics and compile expense reports
- Manage incoming calls and welcome office visitors
- Enter financial data into the XERO accounting system
- Follow up on outstanding payments as needed
- Assist the Admin Manager with additional tasks as required
Requirements
- Excellent command of English, both written and spoken. Maltese will be considered an asset
- Previous experience in an administrative;
- Strong organisational skills and attention to detail
- Computer literacy and Microsoft applications such as Word
- Experience using XERO is considered an asset
- Candidates must be already residing in Malta
