We are seeking a highly organised and proactive Academy Administrator & Quality Management Assistant to join our team. This pivotal role provides essential administrative support to ensure the efficient operation of our Academy, while also playing a key part in maintaining our Quality Management System (QMS). The ideal candidate will be passionate about delivering exceptional student experiences and possess a keen eye for detail.
Requirements:
- Serve as the primary point of contact for new students, guiding them seamlessly from booking through to course commencement.
- Manage the student onboarding journey, ensuring all necessary documentation, logistics, and support services are in place.
- Monitor and actively support students throughout their learning journey to ensure high levels of satisfaction and engagement.
- Provide comprehensive administrative support for student enrolment processes.
- Assist in maintaining accurate and timely data entry within our CRM (leads management) and student records.
- Follow up on enquiries and provide crucial documentation and communication support to the sales team.
- Plan and coordinate engaging student events, open days, induction sessions, and networking opportunities in collaboration with the Marketing Executive.
- Develop and nurture strong relationships with all stakeholders, including students, parents, and employers.
- Fulfill the QMS role of “Administration & Accounting Assistant” by meticulously documenting various processes.
- Manage and maintain QMS data and the quality calendar.
- Proactively prompt management to act on QMS statutory requirements and ensure compliance.
- Provide general administrative support, including efficient filing, copying, binding, scanning, and managing correspondence.
- Professionally man the reception area, meeting and greeting visitors, students, and customers.
- Answer and direct telephone calls effectively.
Requirements
- Exceptional ability to build rapport and maintain positive relationships with diverse stakeholders.
- Demonstrates excellent attention to detail and a strong commitment to follow-through on tasks.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Proven ability to manage multiple responsibilities and deadlines effectively in a fast-paced environment.
- Previous experience in event planning or coordination is a strong advantage.
- A background in the maritime industry or knowledge of nautical training is preferred.
- Possesses a proactive, "can-do" attitude and a genuine passion for delivering outstanding experiences.
Education and Experience
- A diploma of education will be desired.
