Procurement & Order Management
- Analyze historical sales data and demand forecasts to generate and issue Purchase Orders (POs) for regular inventory and A&P requirements.
- Vigorously track supplier lead times and shipping schedules, proactively following up on delayed shipments and carrying over unfulfilled quantities to subsequent orders.
- Review proforma invoices upon issuance to identify stock cuts early, adjust order cycles, and input data into the system prior to receiving final commercial invoices.
- Create new item cards, maintain up-to-date supplier price lists, and calculate product margins and markups as requested by leadership.
Logistics, Freight & Customs Coordination
- Source competitive freight quotes from forwarders, tracking shipments to ensure adherence to estimated time of arrival (ETA) timelines.
- Resolve quote discrepancies and address transit delays directly with freight and logistics partners.
- Calculate excise duties and liaise closely with customs brokers to ensure compliant clearance of incoming shipments.
- Coordinate batch, expiry date, and specialized label printing (e.g., surgical spirit, nail polish remover) with local print suppliers.
Inventory Control & System Costing
- Execute stock costings in the system upon receipt of goods to update landed costs and inventory values.
- Monitor stock cards to ensure absolute accuracy in item descriptions, pricing, and critical expiry date entries.
- Manage price increases and structural price changes within the ERP system, liaising with IT via designated templates for system-wide updates.
Commercial & Retail Liaison
- Input confirmed pricing into the system following Brand Manager sign-off and communicate updates promptly to sales representatives.
- Draft and distribute standardized product templates to retail partners and doors for new item launches, barcode updates, and price adjustments.
- Compile daily, monthly, and yearly administrative, stock, and purchasing reports to support management decision-making.
