Our client, operating in the Shipping industry, is searching for a full-time Ship Documentation Assistant to join their Shipping department.
Responsibilities:
- Documentation Management & Compliance: Facilitate the flawless preparation, review, and verification of high-volume international trade documentation, including commercial invoices, manifests, bills of lading, packing lists, and customs clearance declarations.
- Stakeholder Coordination: Serve as a core point of contact for international principals, third-party carriers, port authorities, and local clients to ensure the seamless, timely dispatch and delivery of cargo.
- Tracking & Pipeline Monitoring: Maintain meticulous real-time data entries for all shipments, proactively monitor vessel or freight tracking metrics, and update distribution schedules to meet strict logistical deadlines.
- Discrepancy Resolution: Actively troubleshoot, investigate, and resolve any port, transit, or administrative variances to eliminate freight bottlenecks and minimize delivery delays.
- Regulatory Compliance: Guarantee strict adherence to all local and international maritime laws, EU customs frameworks, and corporate quality assurance guidelines.
Requirements
- Fluent in both written and spoken English AND Maltese
- A multi-tasker who is able to work under pressure
- Highly organised, meticulous and flexible
- Proficient in MS tools
Education and experience
- O Level Standard of Education
- Previous experience of an administrative nature is a must
- Knowledge of shipping procedures and documentation is an asset
- Candidates with previous experience within shipping/maritime will be given preference
