Purchasing Executive

A dynamic and growing organisation within the food and distribution industry is seeking a detail-oriented and proactive Purchasing Executive to join its commercial and supply chain team.

This role is ideal for someone with experience in purchasing and inventory coordination who enjoys working in a fast-paced environment and thrives on organisation, problem-solving, and operational efficiency.


What You'll Be Doing

Purchasing & Inventory Coordination

  • Analyse data to develop and maintain inventory planning schedules
  • Ensure adequate stock levels through effective forecasting and planning
  • Raise purchase orders, coordinate submissions, and follow up with suppliers
  • Finalise purchasing processes by matching goods received against purchase orders and invoices
  • Support efficient inventory management and stock control processes

Logistics & Supplier Coordination

  • Coordinate shipments with the in-house logistics team
  • Liaise with logistics and warehousing teams to ensure smooth importation and product handling
  • Ensure imported products comply with EU and local legislation
  • Coordinate sourcing of food and beverage labels with relevant departments
  • Build and maintain strong supplier relationships

Data Management & Reporting

  • Create and maintain supplier evaluations and performance records
  • Monitor supplier KPIs and support performance improvement initiatives
  • Maintain accurate stock cards, product data, documentation, and image databases
  • Generate reports and provide operational support to management

What We’re Looking For

  • Previous experience in purchasing, procurement, or supply chain operations, preferably in FMCG
  • Strong organisational skills with excellent attention to detail
  • Ability to work independently and collaboratively within a team
  • Strong communication skills in English, Maltese & Italian are an asset
  • Ability to manage deadlines and work effectively under pressure
  • Strong supplier coordination and relationship management skills

Technical Skills

  • Strong proficiency in Microsoft Office Suite, particularly Excel
  • Experience using ERP systems is considered an asset
  • Knowledge of Power BI or reporting tools is advantageous
  • Strong analytical and reporting abilities
