We’re working with a modern, fast-moving business looking for a Projects & Executive Coordinator to join their small, close-knit team. They work on a varied mix of projects, both locally and internationally, meaning no two weeks tend to look quite the same.
You’ll work closely with the CEO and wider team, taking ownership of projects, bringing people together and making sure ideas actually turn into action.
They’re also not looking for a “yes” person. They want someone curious and confident enough to share ideas, challenge the way things are done and suggest a better approach when they see one.
What you'll be doing
- Managing multiple projects from planning through to delivery
- Keeping timelines, priorities and all the moving parts on track
- Coordinating with clients, colleagues, suppliers and external stakeholders
- Building strong relationships and acting as a trusted point of contact
- Using project management tools such as monday.com or Asana to keep everything organised
- Supporting the CEO with diary, meeting and priority management
- Keeping internal and external communication clear, professional and organised
- Switching comfortably between leading projects and supporting the wider team depending on what’s needed
Who we're looking for
- Hold at least 3 years of experience working in a fast paced environment in a similar role such as Project Coordinator or PA.
- You’re a big people person who genuinely enjoys building relationships and working with different personalities.
- You’re organised, proactive and comfortable when there are several things happening at once. You don’t need someone constantly telling you what to do next, and you’re happy taking ownership and figuring things out.
- You’ll also have your own opinions. This is an open-minded team that values people who contribute, ask questions and bring new ideas rather than simply agreeing with everything.
- Experience in project coordination, events, an agency environment, hospitality, marketing or another fast-paced, client-facing setting could work really well.
- You must already be based in Malta and be fully fluent in English, both written and spoken, as it is the main language you'll use.
The setup
- The position is Malta-based and largely remote, with occasional in-person meetings.
- It can be offered as a 40-hour week, either employed or on a contract basis, with a slight preference for contract. A 35-hour week with Friday afternoons off can also be considered.
- There’s flexibility around how the working week is organised, making this a great fit for someone who enjoys having autonomy and knows how to use it well.
