Our client is looking for a Payroll & HR Administration Officer. This person will be responsible for managing the company’s fortnightly payroll, maintaining employee records, handling Jobsplus and foreign employment applications, and preparing payroll documentation. The role also provides administrative support across order processing, invoicing, customer service, stock administration, basic bookkeeping, and general office duties within a small team environment.
Responsibilities
- Process accurate fortnightly payroll, including wages, overtime, allowances, deductions, leave adjustments, and statutory contributions.
- Prepare payslips, FS3s, payroll reports, salary certificates, and other employment-related documentation.
- Maintain accurate employee records and assist with payroll reconciliations and audits.
- Manage Jobsplus submissions, employee changes, and foreign-national work permit applications, liaising with relevant authorities.
- Prepare employment documentation, track permit renewals, and maintain confidential employee files.
- Support order processing, quotations, purchase orders, job cards, invoicing, and customer updates.
- Handle customer enquiries, telephone calls, and reception duties in a professional manner.
- Assist with general administration, filing, data entry, stock records, bookkeeping tasks, and office coordination.
- Ensure all payroll, employment, financial, and customer information is handled confidentially and accurately.
Requirements
- Previous experience in payroll, administration, HR, accounts, customer service, or a similar role.
- Proven experience processing payroll in Malta is essential.
- Knowledge of Jobsplus procedures and foreign-national employment applications is required.
- Experience with payroll/accounting systems and Microsoft Office applications is preferred.
- Strong attention to detail, numerical ability, organisation skills, and the ability to manage multiple priorities.
- Excellent communication skills and the ability to work independently in a small-team environment.
- Fluency in English is required; knowledge of Maltese is considered an asset.
