We are seeking an experienced, highly autonomous HR & Administration Assistant to join a company in the South of Malta. You will manage the daily human resources and administrative operations. The ideal candidate will be fully equipped to take ownership of end-to-end HR support processes, from payroll processing and work permit management to employee lifecycle admin. 

What You'll Be Doing:

  • Payroll Administration: Prepare, process, and reconcile monthly payroll accurately using Shireburn, ensuring full compliance with local employment laws, tax regulations, and statutory reporting for around 80 employees.
  • Work Permits & Visas: Manage the end-to-end application, renewal, and tracking processes for employee work permits, residence cards, and visa documentation in coordination with relevant government authorities (e.g., Identity Malta).
  • Employee Lifecycle Management: Coordinate complete onboarding and offboarding processes, including drafting employment contracts, collecting required documentation, organising welcome orientation, conducting exit interviews, and managing termination paperwork.
  • HRIS & Data Management: Maintain and continuously update the HR Information System (HRIS) to ensure employee records, leave balances, performance tracking, and personal data remain strictly accurate and compliant.
  • General HR & Admin Support: Serve as the primary point of contact for day-to-day employee inquiries, assist with HR policy implementation, maintain digital filing systems, and provide administrative support to senior HR management as needed.

What We're Looking For:

  •  Proven, local hands-on experience handling the full scope of HR administrative duties independently without requiring preliminary training 
  • Fully proficient in using Shireburn Indigo 
  • Demonstrated working knowledge of local labor laws, employment regulations, and work permit application processes.
  • Able to work independently with minimal supervision 
  • Excellent organisational abilities, sharp attention to detail, strong problem-solving capacity, and absolute discretion in handling confidential information.
  • Fluency in spoken and written Maltese and English
