A growing events company is looking for a Team Building Events Coordinator to manage client enquiries, event planning and administration, ensuring team building events are well organised from booking through to delivery.
The Main Responsibilities include:
- Act as the main point of contact for clients throughout the booking process.
- Discuss client requirements and objectives and suggest appropriate team building solutions.
- Arrange and participate in client meetings, both virtually and in person.
- Produce and send quotations, proposals, itineraries and other relevant documentation.
- Manage enquiries and follow up with clients to support the conversion of opportunities into confirmed bookings.
- Organise event schedules, bookings and other administrative requirements.
- Liaise with venues, suppliers, partners and internal teams to coordinate all necessary arrangements.
- Work alongside the logistics team to ensure each event is properly planned and delivered.
- Be present at selected events in Malta and Gozo to coordinate activities and ensure the client experience runs smoothly.
- Assist in introducing new concepts and improving existing team building activities.
- Maintain professional and positive relationships with clients and external partners.
- Take ownership of unexpected issues and make quick, practical decisions when plans change.
Working hours:
Monday to Friday, 08:30–17:00.
The role requires flexibility to attend events that may take place during evenings and weekends.
Requirements
- A valid driving licence and own car are essential, as the role involves travelling to events across Malta and Gozo.
- Comfortable communicating with clients and managing multiple enquiries simultaneously.
- Fluent in English; additional languages are considered an asset.
- Good working knowledge of Microsoft Office and Google Workspace.
- Excellent organisational and time management skills.
- Strong communication and interpersonal abilities.
- Flexible and comfortable working evenings and weekends when events are scheduled.
- Proactive, reliable and able to adapt to changing requirements.
- Comfortable working in a role where flexibility is required from both the employee and employer.
Education and experience
- Previous experience in events, hospitality, administration, sales, marketing or a similar environment is preferred.
