An established property development and construction group is seeking a Planning & Design Senior Administrator to provide administrative and coordination support throughout the planning, design, pre-execution and project completion stages of its developments, liaising with internal teams and external stakeholders to ensure smooth project progression.
The Main Responsibilities include:
- Support planning applications, monitor submissions and follow up on requirements, including authorised representation for deeds, payments and other formalities.
- Coordinate drawings, documentation, submissions and project deliverables with Periti, designers, consultants and internal teams.
- Compile BCA documentation, including neighbour details, Condition Reports, Method Statements and GIRs. Arrange CAR insurance policies, renewals and BCA bank guarantees.
- Coordinate the engagement of STOs and H&S Project Supervisors and assist with site mobilisation, temporary services, signage, cameras, utility poles and related logistics.
- Liaise with Transport Malta, Local Councils, utility providers and other authorities regarding permits, clearances and project requirements, including neighbour coordination where necessary.
- Follow up on planning compliance certification, bank guarantee releases, utility meter transfers to condominiums and other post-completion requirements.
- Maintain accurate project records, monitor departmental communications, review and record invoices, coordinate supporting documentation and provide administrative support to the Department Head and wider team.
- Assist other departments with project-related administrative and coordination matters as required.
Working Hours:
Monday - Friday, 8AM - 5PM
Requirements
- Proficiency in Microsoft Office.
- Strong organisational, administrative and coordination skills, with excellent attention to detail.
- Good written and verbal communication skills and a professional approach to stakeholder management.
- Ability to manage multiple projects and deadlines, work independently and follow tasks through to completion.
- A proactive, dependable and hands-on approach, with strong ownership and follow-up skills.
Education and experience
- Minimum Diploma-level qualification.
- Previous experience in property development, construction, planning, architecture or a related field is considered a strong asset.
