Our client within the Legal Sector is looking for a highly organized and proactive Executive Assistant to the Managing Partners to provide high-level administrative support to our Senior Partners, ensuring the smooth and timely coordination of their daily schedules and operations in a dynamic and fast-paced setting.
Key Responsibilities
- Manage the Managing Partners’ diaries, priorities and commitments, ensuring their time is aligned with key business objectives.
- Manage executive correspondence, communications and follow-up actions, ensuring matters are addressed promptly and effectively.
- Act as a professional liaison between the Managing Partners and internal and external stakeholders.
- Coordinate meetings, presentations, visits and executive engagements, ensuring all necessary information and materials are prepared in advance.
- Arrange and oversee complex business travel, including itineraries and logistical requirements.
- Support strategic projects, initiatives and special assignments by coordinating stakeholders, tracking progress and ensuring deadlines are met.
- Proactively identify and escalate issues that may impact priorities, commitments or business activities.
- Maintain strict confidentiality when handling sensitive information and matters.
- Work closely with Partners, CXOs, senior leaders and support functions to ensure effective coordination and execution of business priorities.
- Use AI-powered tools, automation and digital technologies to improve efficiency, productivity and the overall delivery of executive support.
- Conduct research and provide practical solutions to support projects and achieve desired outcomes.
- Perform other duties and responsibilities as required in support of the firm’s objectives.
Required Skills & Qualifications
- Proven experience supporting senior leaders, Partners, Directors or C-suite executives.
- Excellent written and verbal communication skills.
- Strong diary, inbox, meeting and stakeholder management experience.
- High level of discretion and proven ability to handle confidential information.
- Strong proficiency in workplace technology and generative AI tools.
- Excellent organisational and time-management skills, with the ability to prioritise competing demands.
- Ability to work independently, exercise sound judgement and take initiative.
- Strong relationship-building and interpersonal skills.
Preferred Qualifications & Experience
- Experience within a legal, advisory, professional services or high-touch client environment.
- Experience working with clients, professional intermediaries or senior external stakeholders.
- Exposure to project coordination, executive office support or business operations.
- Tertiary qualification in Business Administration, Management or a related field.
- Strong research and problem-solving skills, with the ability to identify solutions and drive matters through to completion.
