Executive Assistant (Part-Time)

Our client is seeking a proactive and highly organised Executive Assistant to provide hands-on administrative and organisational support to the CEO. This is a newly created position suited to someone who is confident, direct and assertive, with strong administrative skills and the ability to proactively manage priorities and follow up on outstanding matters.

The successful candidate will work closely with the CEO, helping him structure and prioritise his day, keeping track of commitments and ensuring important actions and deadlines are followed through. The role will also involve communication with new and existing B2B clients, as well as administrative and communication support relating to government tenders.

The Main Responsibilities include: 

  • Provide proactive administrative and PA support to the CEO.
  • Assist the CEO in prioritising his tasks and key commitments each morning.
  • Keep track of deadlines, meetings, actions and follow-ups, ensuring priorities are not overlooked.
  • Proactively remind and follow up with the CEO on outstanding matters.
  • Support communication with new and existing B2B clients.
  • Act as a point of contact for clients when required, ensuring professional and timely communication.
  • Provide administrative support throughout the tender process, including communication and coordination relating to government tenders.
  • Assist with the preparation, organisation and tracking of tender documentation.
  • Follow up with relevant stakeholders to ensure required information and documentation is received on time.
  • Provide general administrative support to ensure the smooth day-to-day running of the business.
  • Handle sensitive and confidential information with discretion.
  • Support other administrative and organisational requirements as they arise.

Working Hours:

Monday to Friday, part- time position with a minimum commitment of 20 hours per week and a maximum of 30 hours per week. The successful candidate must be available to start in the morning and work through until the early afternoon, as this is an essential requirement of the role.

Salary:

€14-€16 per hour as a gross salary

Requirements

  • Strong administrative and organisational skills.
  • Excellent communication and interpersonal skills.
  • Fluency in Maltese and English is essential, particularly due to involvement with government tenders.
  • Strong attention to detail and the ability to work to deadlines.
  • Confident in following up with others and ensuring tasks are completed.
  • Good working knowledge of Microsoft Office and standard administrative tools.

Education and experience

  • Previous experience in an Executive Assistant, Personal Assistant, Administrative or similar role.
  • Previous experience communicating with clients, preferably within a B2B environment.
  • Previous exposure to tenders or e-procurement processes will be considered an asset.
