Administrative Assistant - interim support
Location: EUAA HQ, Valletta Malta.
Tentative start date: 17.08.2026 until 31.01.2027 (with possible renewal)
Salary Category III - Gross monthly: 3,211.87
Job Description
The Administrative Assistant will be supporting the First Response Sector within C1 with the following tasks:
- Providing administrative support and assistance to the ongoing projects of the Sector, including acting as a secretariat of the Sector;
- Scheduling, organising, maintaining the agenda of the Sector and keeping minutes of meetings, as well as horizontal meetings, workshops and activities related to the objectives of the Sector as necessary;
- Supporting the Head of Sector and team members with the organisation of mission arrangements;
- Managing and updating internal files and databases related to team management (desk allocation, tracking tools, distribution lists, etc.), including monitoring, managing and updating the ERDMS folders of the Sector;
- Supporting logistic activities linked to workshops and Sector-related events, including organisation of deliveries and badge preparation as necessary;
- Drafting documents, templates, minutes and reports;
- Screening and filing emails and correspondence regarding the related area/s of activities and managing correspondence, documents filing and archiving;
- Providing back-up support to the other team members within the Sector, on administrative tasks;
- Performing any other related duties required in the interest of the service.
Minimum requirement
- A secondary education is attested by a diploma giving access to post-secondary education and appropriate professional experience.
- Previous professional experience in similar tasks of 4 years;
- Proven professional experience in drafting templates, documents and reports;
- Thorough Knowledge of English (level C1 in all dimensions as per the Common European Framework of Reference for Languages or CEFRL)
- Computer literacy, including MS Office Suite, use of internet and web-based applications.
Advantageous criteria
- Previous experience within an international and multicultural environment, specifically in the field of international protection;
- Have previous proven professional experience as administrative assistant.
- Completed university studies of at least three years in a relevant field, attested by a diploma.

Non-resident rate: Non-Maltese employees who are moving to Malta for the purposes of employment will be subject to "Non-resident" tax rates for the first 183 days from arrival – these are higher than the standard rates. Once 183 days of residence are reached, income tax will be recalculated for the entire period of employment in the current year from arrival in Malta, and the tax will be adjusted to recover any overpaid tax. If the 183-day period extends into the following year, and 183 days of residence in Malta are not accumulated, the overpaid tax will need to be claimed back from the authorities with personal income tax return.
