Our client, a well-established company within the luxury yachting industry, is looking to recruit an organised, proactive, and detail-oriented Administration Assistant to join their team.
This role plays a key part in ensuring the smooth coordination of surveying activities across a large fleet of superyachts. Working closely with the technical team, yacht captains, managers, and other industry professionals, the successful candidate will be responsible for delivering accurate administrative and logistical support while maintaining the highest standards of professionalism.
Key Responsibilities
- Coordinate and schedule surveys for a large fleet of approximately 250 superyachts.
- Provide structured administrative and logistical support to the technical team.
- Liaise with yacht captains, yacht managers, surveyors, and other stakeholders to coordinate survey appointments and related activities.
- Manage documentation, correspondence, and internal workflows with a high degree of accuracy.
- Maintain and update schedules, records, and databases, ensuring all information is accurate and up to date.
- Proactively identify and resolve scheduling conflicts while ensuring deadlines are met.
- Handle general office administration, including ordering stationery and office supplies.
- Answer and manage incoming telephone calls and email correspondence in a professional manner.
- Support the day-to-day administrative operations of the business.
- Maintain confidentiality and ensure all tasks are completed with exceptional attention to detail.
Requirements
- A minimum of 4 years' experience in an administrative, coordination, or office support role.
- Excellent organisational skills with the ability to manage multiple priorities simultaneously.
- Exceptional attention to detail and accuracy, with the ability to work in an environment where mistakes can have significant operational impact.
- Fluent in English, both written and spoken.
- Strong interpersonal and communication skills, with the confidence to interact professionally with yacht captains, managers, and other senior stakeholders.
- Ability to work independently, take ownership of responsibilities, and manage workload with minimal supervision.
- Proactive, self-motivated, and solution-oriented with excellent time management skills.
- Proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel.
- Previous experience within the yachting, maritime, shipping, or luxury services industry will be considered an asset.
