Our client is seeking a Finance & Business Operations professional to support accounting, corporate governance, and day-to-day operations within a fast-paced, entrepreneurial environment. This is a hands-on role offering exposure to global markets and close collaboration with senior stakeholders.
Duties include:
Accounting, Finance & Administration
- Prepare the monthly management accounts including input accounting data and maintain accurate bookkeeping records for the various undertakings of the group
- Prepare quarterly vat returns, payroll on a monthly basis and annual accounts, lead audit queries and review the companies’ financial statements and tax return.
- Manage the corporate management of the company, including:
- Preparation and timely submission of all statutory returns
- Preparation for monthly board meetings, attending select meetings, and minute- taking.
- Draft and prepare reports and presentations for the Board for operational and documentation purposes.
- Handle corporate administration tasks, including incorporation of new companies, preparation and submission of annual returns, and coordination with external lawyers and consultants for agreement drafting.
- Liaise with banks, including account opening, account maintenance, and relationship- building with bank contacts.
- Handle local and international tax matters.
- Coordinate with team members in offices outside Malta to enable certain tasks to be completed.
- Manage day-to-day office administration, including general secretarial duties.
Operations & Compliance
- Ensure portfolio-related documentation and reporting are handled accurately and in line with internal procedures.
- Review and confirm trade positions and trade confirmation documentation
- Coordinate exception handling of automated trade instructions.
- Prepare, review, and deliver monthly KPI and cost reports to stakeholders.
- Produce quarterly portfolio valuation reports and prepare/distribute portfolio performance reports to clients on a quarterly basis or upon request.
- Maintain operational documentation related to client portfolios and transactions accurately and according to internal procedures.
- Ensure compliance with anti-money laundering (AML) regulations, conduct client due diligence and KYC procedures.
- Maintain and update client records in the firm’s onboarding and compliance system.
Requirements
- Qualified accountant (warranted or equivalent).
- 3 years of working experience in a senior position.
- Multilingual skills are an asset.
- Ability to take ownership of tasks and work independently with minimal supervision
- Ability to work comfortably in a regulated financial environment where operational accuracy and documentation are essential.
- Excellent organisational and multitasking skills.
- Strong communication skills.
- Local experience is required for this role
